Why are you processing my personal information?
All HSENI staff (including consultants and contract staff) must declare any gifts or hospitality offered to them in relation to their official duties, whether accepted or declined, including the names of those making and receiving the offer. There are a few exceptions such as seasonal / trivial gifts and conventional hospitality which may not need recorded on the register. Details of all other gifts and hospitality are recorded on a HSENI's Gifts and hospitality register which is published annually on the HSENI's website. This is a public accountability requirement outlined in DAO (DFP) 10/06. The lawful basis for processing this information is therefore that it is necessary for the completion of a public task.
What categories of personal data are you processing?
The main category of personal data processed on Gifts and Hospitality registers is names, both of those HSENI staff receiving offers of gifts and hospitality and of those individuals making the offers. It may also be necessary to process information about the organisation the individual making the offer works for / represents, if relevant when describing the reason / context for the offer.
Where do you get my personal data from?
If you are offering a gift or hospitality to a HSENI official, your personal data (name) will be entered on the register by that official. In some cases it might also be deemed necessary to record the organisation you work for / represent. If you are HSENI staff, you will provide your personal data to us when updating the relevant Gifts and Hospitality register, in line with HSENI's Gifts and Hospitality guidance.
Do you share my personal data with anyone else?
Gifts and hospitality registers are shared within HSENI on a regular basis for updating. They are also published annually, as required by DAO (DFP) 10/06, on the HSENI's website.
Do you transfer my personal data to other countries?
No.
How long do you keep my personal data?
We will only retain your data for as long as necessary to process in line with the HSENI's Retention and Disposal Schedule.
